Welcome to Titanbase, a software-as-a-service (SaaS) platform provided by AKCodeWorks. By creating an account, accessing, or using Titanbase, you (“you”, “your”, or the “Organization”) agree to the following terms.

1. Service Overview

Titanbase is a subscription-based SaaS product licensed per Organization. It provides administrative and operational tools for public safety and emergency service organizations.

2. Account Access

• Your Organization is responsible for all activity under its account.
• You may only access data and features belonging to your Organization.
• Accessing or modifying other Organizations' data is strictly prohibited.

3. Trial Period

• New Organizations receive a 14-day free trial beginning at account creation.
• Trials must be used in good faith. Abuse may result in termination.
• We reserve the right to suspend or cancel trials suspected of misuse.

4. Subscription and Payment

• Access beyond the trial requires an active paid subscription.
• Subscriptions are per Organization. Only authorized users may use the platform.
• Failure to maintain a subscription will result in loss of access.

5. Data Retention

• Organization data is retained for 90 days after a subscription ends.
• After 90 days of inactivity, all data may be permanently deleted without notice.
• It is your responsibility to export or back up any data before it is deleted.

6. Acceptable Use

You agree not to use Titanbase for:

• Any unlawful purpose or activity.
• System abuse, reverse engineering, or unauthorized access.
• Behavior that degrades performance or security for others.

7. Termination

We may suspend or terminate your access at any time for violating these terms, abusing the trial period, or compromising the security of the platform.

8. No Warranty

Titanbase is provided "as-is" and "as-available." We make no warranties, express or implied, regarding uptime or fitness for a particular purpose.

9. Limitation of Liability

We are not liable for any indirect or consequential damages, including loss of data or profits, arising from your use of the service.

10. Changes to Terms

We may update these terms at any time. Continued use of Titanbase after changes are posted constitutes acceptance of the updated terms.

Privacy Policy

We take your privacy seriously. Titanbase does not sell, rent, or share your personal information with third parties.

We do not use your data for advertising or profiling. All data collected is strictly used to provide and improve the core functionality of the application.

This includes information necessary for account management, access permissions, user settings, and the operation of platform features such as scheduling, asset tracking, and communication tools.

Cookie Policy

Titanbase uses cookies solely for essential application functionality. This includes:

• Maintaining active sessions using JSON Web Tokens (JWTs)
• Keeping you logged in between visits
• Securing authenticated routes and permissions

We do not use cookies for advertising purposes. All cookies are limited to what is necessary to ensure a secure and consistent experience within Titanbase.

Communication Policy

Titanbase is a platform designed for emergency services organizations. We offer dedicated notification resources to help you manage your organization more effectively.

Titanbase may contact you via email or SMS under the following conditions:

• You have explicitly opted in to receive our newsletter or service-related communications
• You have enabled email or SMS notifications in your user account settings
• You have selected a topic to be notifed about.

We will never send unsolicited marketing or promotional messages. You may opt out of email or SMS notifications at any time via your account settings or by following the unsubscribe instructions in any message we send.

As always, message and data rates may apply for any messages sent to you from us and to us from you. You will receive messages only for topics you have subscribed to. For instance if you have subscribed to expiring certification reminders, you will recieve a notification at 30, 60, and 90 days before it expires, per expiring certification on file. You will not recieve more than one notification per topic per sub-topic. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

You can cancel the SMS service at any time. Just text “STOP” to the short code. After you send the SMS message “STOP” to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.

Data Security

Titanbase takes data security seriously and implements safeguards to protect your information. Our infrastructure is hosted on secured virtual private servers (VPS), and our data storage uses PostgreSQL databases managed within isolated environments.

All connections to the VPS are protected by firewalls and access controls. Passwords are hashed using industry-standard cryptographic algorithms before storage, and sensitive operations are secured using role-based access control.

Database access is strictly limited. Organizations can only access their own data, and internal access is restricted to developers whose job responsibilities require direct database interaction. All access is logged and monitored for security compliance.
